Learn how to configure your scheduling and availability within Broccoli settings

Broccoli Dashboard > Settings > Scheduling

In this article we will learn how to configure your schedule settings and availability, set up ADP rules, and troubleshoot appointments with the appointment simulator. The configurations you put in place here will determine how and when your AI agent will be able to offer job bookings for regular and emergency appointments.

Availability

In this section you can configure how and when you would like your AI agent to offer job bookings.

Time Zone

Make sure your time zone is set correctly. This will ensure your agent is offering correct appointment times to customers.


Scheduling

If you use Adjustable Capacity Planning (ACP) in ServiceTitan you can toggle this switch on. Otherwise, you can leave this off.

If using ACP via ServiceTitan


Where should non-emergency jobs be placed? Choose whether you would like non-emergency jobs to be placed on the bookings tab, or the dispatch board within ServiceTitan.


Auto-assign technician: Choose if you would like it to auto-assign an available technician from ACP.

  • If Enabled: Your agent will automatically assign technicians to jobs based on on their availability/capacity pulled from ACP in ServiceTitan.

  • If Disabled: Jobs will go to the dispatch board in the unassigned section. You will need to assign these to a technician manually.

*Note: If this doesn't seem to be assigning correctly when enabled, you will need to check your ACP configurations


Use ServiceTitan skills filtering: This will need to mirror whatever you have it set to in your configurations within ServiceTitan. To check this, in your ServiceTitan Dashboard navigate to Settings > Capacity Planning > Configure > and look under Capacity Enhancement

If NOT using ACP via ServiceTitan

Where should non-emergency jobs be placed? Choose whether you would like non-emergency jobs to be placed on the bookings tab, or the dispatch board within ServiceTitan.


Earliest regular appointment AI can offer: Choose how many days out you would like the agent to be able to offer a regular appointment.


Change earliest appointment based on job priority: If you would like the earliest appointment offered to be job specific based on priority, you can set that up here.

Simply click on '+ Add Priority,' choose which job priority you would like to set the earliest appointment availability for, and choose how many days/hours out you would like it to be.

*Note: To customize the priority of your specific Job Types you can navigate to your Broccoli Dashboard > Agent Config > AI CSR > Job Types. For more in-depth instructions, you can refer to the following article here.


Arrival Windows: Here you can customize the specific arrival windows your AI agent will offer to the customer when booking a regular job.

Add additional windows by clicking on '+ Add Window,' or remove existing ones by clicking on the red trash can icon.


CSR Availability

Here you will need to input your businesses regular open hours. This should reflect the hours that you schedule regular, non-emergency appointments.

Click and drag on a specific day to add your hours. Click on existing hours to delete.


Emergency Services

Emergency Services allow your AI agent to offer emergency bookings when your office is closed, depending on a few different variables. Here you can configure your emergency services to determine how, when, and under what circumstances you would like your agent to offer emergency appointments to a customer.

Holidays

Here you can add any upcoming holidays to ensure that your AI agent does not offer appointments during those days. This applies to both regular and after-hours jobs, ensuring no new job is scheduled during the selected holiday dates.

Simply click the ( + ) icon to add an upcoming holiday.


ADP Rules

If you use ADP (Adaptive Capacity or AdCap) in ServiceTitan you can use this section to copy over existing rules from your ServiceTitan, or also create your own custom rules. This feature is disabled by default, if you would like to use this you will need to reach out to your CSM or [email protected].

Simulator

The appointment simulator is a useful troubleshooting tool if you would ever like to see how Broccoli is offering appointments.

Simply select a date range, choose a business unit, job type, and priority. Then click 'Run Simulation' to see what appointments your AI agent would offer for the selected time.
